Self-Operated Institution Vendor Approval Programs

Self-operated institutions have greater flexibility in setting vendor approval processes. While vendors must comply with all applicable food safety and insurance laws, institutions can tailor additional standards to align with their values-based procurement goals.

Although it varies by institution, vendor approval typically includes:

  • Submitting an application, either online or directly with the self-operated institution’s office.
  • Providing documentation of a vendor’s food safety, insurance, and other relevant certifications (often including GAP/GHP).
  • Verifying agricultural practices, based on GAP standards or institution-specific guidelines.

Clear communication is essential. Vendors should outline goals such as pricing, production volumes, growing schedules, values, and delivery expectations to ensure alignment with the institution’s needs. Approval timelines vary by institution, so understanding and adhering to these schedules is key to a successful vendor approval process.
